**Job Overview**:
The Events Staff (Field Work) is responsible for providing on-the-ground support during the execution of events, ensuring smooth and efficient operations. This role involves assisting with event setup, managing guest arrivals, guiding attendees, handling logistics, and addressing any issues that arise during the event. The Events Staff plays a key role in creating a positive experience for attendees and helping the event run seamlessly from start to finish. This position requires flexibility, a strong work ethic, and the ability to work in a fast-paced, dynamic environment.
**Key Responsibilities**:
- **Event Setup & Tear Down**:
- Assist with the physical setup and breakdown of event spaces, including arranging tables, chairs, signage, AV equipment, decorations, and other event-related materials.
- Ensure all equipment is set up according to event specifications and that any technical needs (e.g., microphones, projectors) are working correctly.
- Help load/unload event materials and supplies from vehicles and deliver them to designated areas.
- **Guest Registration & Reception**:
- Greet attendees as they arrive, assist with registration, and direct them to the appropriate areas.
- Distribute event materials such as badges, programs, and promotional items.
- Ensure all guests are checked in and maintain accurate attendance records.
- Provide attendees with information about the event schedule, location of amenities (e.g., restrooms, food stations), and any other event-related details.
- **Event Coordination & Guest Assistance**:
- Serve as the first point of contact for event attendees, answering questions and providing assistance as needed.
- Guide guests to event sessions, breakouts, or other key areas, ensuring smooth flow and on-time transitions.
- Monitor guest behavior to ensure compliance with event guidelines and policies.
- Assist with managing crowd control during events to ensure the safety and comfort of attendees.
- **Logistics Support**:
- Ensure that event supplies and materials are replenished as necessary (e.g., refreshments, handouts, brochures).
- Assist with on-site coordination of food and beverage service, ensuring everything is set up and served on time.
- Support technical staff with any on-site equipment setup or adjustments, including AV equipment and registration tools.
- Monitor event spaces and keep them organized and tidy throughout the event.
- **Problem-Solving & On-Site Support**:
- Address any issues or emergencies that arise during the event, including troubleshooting problems and reporting them to supervisors.
- Coordinate with vendors, speakers, and other event staff to ensure smooth event execution.
- Ensure the safety and comfort of all attendees by handling any immediate concerns or issues in a timely and professional manner.
- **Post-Event Assistance**:
- Assist with event breakdown, including disassembling and packing up materials, decorations, and equipment.
- Ensure all rented or borrowed items are returned to vendors or storage as required.
- Collect feedback from attendees and assist in event evaluation.
- **Team Collaboration**:
- Work closely with the event team, including event managers, coordinators, and other field staff to ensure all tasks are completed efficiently and on schedule.
- Participate in briefings before and debriefings after events to review tasks, share insights, and improve future events.
- **General Event Support**:
- Assist with miscellaneous tasks as assigned by event organizers or supervisors, such as distributing promotional materials or supporting VIP guest needs.
- Provide support during any special activities, entertainment, or presentations during the event.
**Qualifications**:
- **Education**:
- High school diploma or equivalent. A degree or coursework in Event Management, Hospitality, or a related field is a plus.
- **Experience**:
- Previous experience in event support or customer service roles is preferred but not required.
- Experience in a fast-paced, customer-facing environment is beneficial.
- **Skills**:
- Strong communication skills, both verbal and written.
- Ability to work well in a team environment and take direction from event managers and coordinators.
- Strong organizational skills with an ability to multitask and stay calm under pressure.
- Flexibility and adaptability in handling changing event demands.
- Basic problem-solving abilities and a proactive approach to handling issues.
Pay: ₹12,000.00 - ₹20,000.00 per month
