Introduction:
The role holder will be responsible for owning and leading the allocation and workflow processes for CIT Legal, with an initial focus on CIT Legal’s UK workflow (noting that this may, in the future, extend into other CIT Legal jurisdictions), and more broadly will support a range of other optimisation projects and initiatives within the global CIT Legal team.

What will you be doing?

The role will include the following main duties and responsibilities in relation to the allocation and workflow process:

- Managing the receipt, acknowledgement/rejection/reassignment and triage of matter instructions that come into CIT Legal, including via CIT Legal’s Legal Instruction Management System (LIMS) or similar, to prepare instructions for allocation;
- Reviewing matter instructions to assess relevant criteria for the purposes of allocation to the right delivery lawyer in CIT Legal (including work type, extent of third party comments/points to negotiate, complexity, risk factors and materiality, priority/urgency, etc);
- Managing the CIT Legal allocation queries mailbox, including: providing regular updates to stakeholders on their matter instructions prior to allocation; managing and responding to questions/escalations and updates to instructions; escalating issues and/or risks identified to relevant CIT Legal stakeholders;
- Allocating matter instructions to the appropriate delivery lawyer (with relevant input from senior leaders in CIT Legal);
- Owning, maintaining and updating the CIT Legal matter tracker (currently in Excel), with related data and MI reporting responsibilities;
- Supporting with capacity assessment, forecasting and management to align with the current and pipeline workflow of the team (and prioritisation of matter instructions);
- Creating matters and files within Legal Gateway (Barclays Legal’s current matter management platform);
- Attending relevant team and allocation calls;
- Ensuring structured governance and controls are in place in relation to existing workflow processes, and proactively identifying and raising optimisation opportunities to continuously improve those processes; and
- Engaging with the global team to adapt better practices, processes and templates.

Additional duties and responsibilities will include:

- Project management of broader CIT Legal optimisation projects (including in connection with CIT Legal’s contract lifecycle management (CLM) platform); and
- Acting as a relationship lead with relevant Procurement stakeholders in relation to the workflow process, including gathering feedback, implementing agreed changes and feeding into broader optimisation projects.

What we’re looking for:

- Strong experience of, and capability for:

- leading and managing similar or equivalent team processes in a predominantly self-sufficient manner;
- supporting and collaborating with multiple (and sometimes competing) stakeholder groups - with the ability to work consistently in a collegiate and professional manner, and demonstrating strong, proactive stakeholder management skills, including with negotiating deadlines;
- working with a range of technology platforms (including Excel);
- proactively identifying and implementing process optimisation changes/projects;
- Excellent attention to detail, organisational and time management skills - with the ability to manage a range of tasks and responsibilities in a self-sufficient manner, to deliver tasks and manage processes in a consistently accurate and efficient manner, to plan and deliver tasks to deadlines (and, where applicable, in line with team SLAs), to prioritise work effectively and to work flexibly to meet team and stakeholder needs;
- Any graduate.
- Ability to demonstrate outcome-based thinking;
- Strong communication skills (including speaking, reading, writing and listening) in English language. Knowledge of a foreign language and other local language will be an added advantage;
