**Position: Spa Cordinator**

Experience: upto 5 years

Education: Any, without Specialization

Working day: 6 days (1 off between weekdays)

**Key Responsibilities**:
**Reporting to**: Spa Manager or Management

**Work Timings**: Flexible shift of according to work requirements (9 hours)(Spa runs till 10pm)

**Day off**: Any weekday as decided by Management.

**Job Scope**: To assist the manager for the overall smooth operations of the spa.

**Reception Duties**
- To be well versed with spa software and each and every spa/Salon treatment in menu for accurate bookings at the desk.
- To handle all guest spa bookings on phone and for walk-in clients.
- Hande all guest cash transactions at the reception.
- Handle all reception and desk responsibilities

**Targets**
- Responsible for achieving guest services, products and GV targets as defined by spa manager.

**Guest Reception**
- To understand each and every treatment from the spa/salon menu.
- To be able to offer a consultation to ever guest.
- To be able to explain each service with their benefits and contraindications to the guest.
- To be able to upsell every service.
- To have a perfect knowledge of all retail products.
- To ensure all new guests fill in the Client Record form.
- To ensure the guests check in and check out procedures according to guest reception protocol and Branding Strategy.
- To ensure each spa guest has a 7 star experience.

**Guest Relationship Management**
- All record and consultation form details to be updated on the system
- If guests have made any special requests, these have to be registered on system and attended to at every subsequent visit of the guest.
- Ensuring there are zero complaints at the spa and if any, handling them or bringing it to attention of management immediately.
- To update call log on system each day and ensure proper follow ups and maintained.
- Proper follow-up’s maintained of retail sales.
- All Package, Rewards program and special membership details maintained.

**Spa Administration**
- To follow all Policies
- To liaison with all spa maintenance staff (plumbers, electricians, steam guy, carpenters, security, housekeeping etc.)
- To monitor that all phone, electricity, water bills are received and paid on time.
- To liaison with management and accounts for all vendor payments and ensure they are made on time.
- To supervise and look into entire spa administration.
- To liaison with printers, graphic team etc.
- To maintain spa/salon equipment.

**Maintenance contracts**
- To ensure all service contracts of Acs, computers, TV, Steam etc. are maintained and renewed from time to time.

**Utilities Stock Control**
- Maintaining ideal utilities stock levels administration
- Preparing stock order requisition sheet and forwarding to the vendors after approval from management.
- Maintaining daily stock control.

**Housekeeping**
- To prepare weekly housekeeping rooster
- To have a daily briefing with housekeeping and maintenance team (security, valet etc.)
- To allocate daily task sheets to housekeepers
- To supervise deep cleaning of spa weekly.

**Reports**
- To generate spa performance reports from system, to be duly filed and submitted to management.
- To maintain consumption reports.
- Any other reports as requested by management.

**Staff**
- To prepare weekly room checklists and supervise that all rooms are maintained according to Policies.
- To ensure all staff reports to work on time.
- To monitor staff hygiene and grooming standards.
- Helping staff maintain high guest service standards.

**Meetings**
- To have a brief meeting with spa manager and other colleague’s each day.
- To conduct housekeeping briefing each day.
- To attend weekly staff meeting with Management**.**:

- To attend Management meetings each week.

**Other Duties**
- To perform any other duties (within job protocol) as and when requested by the management.
- To be willing to have more duties added to current JD.
- To be perfectly groomed at all times.
- To display good interpersonal skills and be a role model for spa team
- **To perfectly understand and incorporate the Spa Philosophy**

**Salary**: ₹5,000.00 - ₹40,000.00 per month
