**Overview**:
**Key Responsibilities**:
- **Scheduling & Coordination**:
- Schedule and coordinate interviews, ensuring all parties are informed and prepared.
- Manage and block calendars efficiently, especially using Microsoft Teams and other scheduling tools.
- Ensure timely and accurate updates for meetings, appointments, and deadlines.
- **Meeting Support**:
- Arrange and manage virtual and in-person meetings, including setting up conference calls, video meetings, and on-site locations.
- Send out meeting invites, reminders, and follow-ups to all attendees.
- Prepare and distribute meeting agendas and take minutes during meetings, if required.
- **Administrative Support**:
- Provide general administrative support to team members, including filing, document preparation, and correspondence.
- Assist with travel arrangements and accommodation booking, as necessary.
- **Calendar Management**:
- Block and update calendars for senior management or team members, ensuring no scheduling conflicts arise.
- Prioritize meetings and appointments based on urgency and importance.
- **Professional Presence**:
- Maintain a professional, approachable demeanor when interacting with internal teams, clients, and visitors.
- Represent the organization positively through both in-person and virtual communications.
- **Flexibility & Adaptability**:
- Be open to a flexible working schedule, sometimes requiring early morning or late afternoon hours depending on the needs of the team or client schedules.
- Assist with ad-hoc tasks and projects as required.
**Required Skills & Qualifications**:
- Proven experience as a Secretary, Executive Assistant, or in a similar administrative role.
- Strong proficiency in scheduling and calendar management, particularly with Microsoft Teams and other digital tools.
- Excellent organizational skills and the ability to handle multiple tasks efficiently.
- Outstanding communication skills, both written and verbal.
- Ability to prioritize tasks, manage time effectively, and work independently with mínimal supervision.
- Strong attention to detail and accuracy in all administrative tasks.
- Professional appearance and demeanor, with excellent interpersonal skills.
- Experience in conducting or facilitating virtual meetings and managing digital platforms.
- Ability to maintain confidentiality and handle sensitive information with discretion.
**Preferred Qualifications**:
- Familiarity with other scheduling tools (Outlook, Zoom, Google Calendar, etc.).
- Knowledge of business etiquette and meeting protocols.
- Previous experience in a fast-paced, corporate environment.
- Flexibility to work outside normal office hours as required.
