**Job Description: Car Desk Executive (Travel Company)**

**Position Title**: Car Desk Executive / Representative
**Department**: Customer Service / Travel Operations
**Location**: D.N Road Mumbai
**Reports To**: Operations Manager / Travel Coordinator

**Position Overview**: The Car Desk Executive is a key position within the travel company, responsible for coordinating car rental services and providing support to customers who require transportation for their travel needs. This role involves managing car bookings, ensuring excellent customer service, maintaining car fleet details, and liaising with other departments to ensure smooth operations.

**Key Responsibilities**:

- **Customer Assistance and Reservations**:

- Assist customers with car rental inquiries, including vehicle options, pricing, availability, and terms of rental.
- Provide tailored recommendations based on customer preferences and travel itineraries.
- Coordinate special requests such as child seats, GPS, or additional insurance options.
- Offer information on rental policies, insurance coverage, and terms and conditions.
- **Fleet Management and Coordination**:

- Maintain an updated inventory of available vehicles and monitor fleet conditions (e.g., maintenance, availability).
- Coordinate with the operations and logistics teams to ensure the availability of the right vehicles for customer needs.
- Ensure all cars are well-maintained, cleaned, and ready for customer pickup.
- Track vehicle movement and manage bookings effectively to avoid scheduling conflicts.
- **Booking Documentation and Processing**:

- Ensure timely and accurate completion of all rental documentation, including contracts, customer details, and payment records.
- Handle the processing of payments and refunds when necessary.
- Coordinate with the finance team for billing, invoicing, and any special payment arrangements (e.g., corporate accounts).
- Ensure that customers are informed of pick-up and drop-off instructions and locations.
- **Customer Service and Support**:

- Provide outstanding customer service by addressing any customer concerns or issues related to car rentals.
- Assist with vehicle pickup and return procedures, ensuring customers have a smooth and hassle-free experience.
- Manage customer complaints, feedback, and incidents (e.g., vehicle accidents, breakdowns) in a professional manner.
- Follow up with customers post-rental to ensure satisfaction and encourage repeat business.
- **Collaboration with Travel Teams**:

- Work closely with travel agents, tour coordinators, and other departments to ensure that car rentals align with customers’ travel itineraries and needs.
- Collaborate with the transportation and logistics team to coordinate delivery and pick-up of vehicles at various locations.
- Coordinate with the marketing team to promote car rental services to potential clients, including offering special promotions and packages.
- **Market Research and Knowledge**:

- Stay informed on the latest trends in the car rental and travel industry.
- Keep up to date with competitor pricing and offerings to ensure the company remains competitive.
- Provide recommendations for improvements based on customer feedback and market insights.
- **Reporting and Record-Keeping**:

- Maintain accurate records of car rental transactions, bookings, and customer details.
- Prepare daily, weekly, or monthly reports on rental activity, fleet utilization, and customer satisfaction metrics.

**Qualifications**:

- **Education**: High school diploma or equivalent. A degree in Tourism, Travel Management, Business, or a related field is a plus.
- **Experience**: Previous experience in the car rental industry, travel services, or customer service is highly preferred.
- **Skills**:

- Strong communication and interpersonal skills to effectively handle customer inquiries and complaints.
- Good organizational skills with the ability to manage multiple bookings and priorities.
- Familiarity with car rental software and booking systems is an advantage.
- Knowledge of the travel industry, car rental policies, and related travel services.
- Problem-solving abilities to handle operational challenges or customer concerns.
- Attention to detail and accuracy in booking and documentation.

**Job Types**: Full-time, Permanent, Fresher

Pay: ₹30,000.00 - ₹32,754.83 per month
