We are looking for a dynamic and proactive Receptionist & Executive Assistant who can efficiently

manage front-desk responsibilities while providing comprehensive administrative support to senior

management. This is a multitasking role that requires excellent communication, organization, and

time-management skills, along with the ability to handle sensitive information with discretion.

Key Responsibilities:
Reception & Front Desk:

- Greet and assist visitors, clients, and vendors in a professional manner.
- Answer, screen, and direct incoming calls promptly.
- Maintain a neat and welcoming reception area.
- Handle incoming and outgoing mail and courier services.
- Maintain visitor logs and ensure guest protocols are followed.

Executive Assistance:

- Manage calendars, schedule meetings, and coordinate appointments for senior leadership.
- Prepare and edit correspondence, reports, and presentations.
- Organize and maintain files, records, and documentation.
- Handle travel arrangements, including flight bookings, accommodations, and itineraries.
- Track tasks, follow-ups, and ensure timely completion of assigned activities.
- Take minutes of meetings and circulate as required.

Administrative Support & Coordination:

- Coordinate internal meetings and assist in event planning/logistics.
- Support office procurement and maintain stock of office supplies.
- Liaise with vendors and service providers for facility-related needs.
- Handle confidential information with integrity and discretion.
- Provide general support to ensure smooth day-to-day office functioning.

Key Requirements:

- Bachelor’s degree or equivalent; additional secretarial or administrative training preferred.
- 5-10 years of relevant experience in front office/reception and executive assistance.
- Excellent verbal and written communication skills.
- Proficient in MS Office (Word, Excel, Outlook, PowerPoint).
- Pleasant personality with strong interpersonal and customer service skills.
- Strong multitasking ability, attention to detail, and a high level of professionalism.
- Ability to work independently, prioritize, and handle multiple tasks simultaneously.
