Job Summary:
Key Responsibilities:
- **Greet and Welcome Patients**: Warmly greet patients, visitors, and clients upon arrival. Answer questions, provide information, and direct them to the appropriate departments or personnel.
- **Schedule Appointments**: Manage the clinic’s appointment calendar, book and confirm appointments, and handle cancellations or rescheduling requests efficiently.
- **Patient Check-in and Check-out**: Assist patients with the check-in and check-out processes, including verifying personal and insurance information, collecting necessary documentation, and processing payments.
- **Administrative Support**: Maintain and update patient records, ensure data confidentiality, prepare and file necessary paperwork, and assist with general office tasks as needed.
- **Coordinate Communication**: Liaise between patients, healthcare providers, and stakeholders to ensure clear communication and timely information flow. Address any patient concerns or issues and escalate them to the appropriate parties when necessary.
- **Maintain Reception Area**: Keep the front desk and reception area organized, clean, and welcoming. Ensure that brochures, forms, and other informational materials are stocked and accessible.
- **Manage Supplies and Inventory**: Monitor and order office supplies, medical forms, and other front desk necessities. Keep inventory organized and ensure availability of essential items.
- **Billing and Insurance Coordination**: Assist with billing inquiries, process payments, and coordinate with insurance companies to verify coverage and handle claims.
- **Customer Service**: Provide high-quality customer service by addressing patient needs, resolving complaints, and ensuring a positive experience for all visitors.
Qualifications:
- **Education**: High school diploma or equivalent required. Additional training or certification in office administration, healthcare management, or a related field is a plus.
- **Experience**: Minimum of 1-2 years of experience in a front desk or customer service role, preferably in a healthcare or medical office setting.
- **Skills**:
- Excellent communication and interpersonal skills, with the ability to interact professionally with patients, staff, and external stakeholders.
- Strong organizational and multitasking abilities, with attention to detail.
- Proficiency in using office software (e.g., MS Office Suite) and familiarity with medical record-keeping software or practice management systems.
- Ability to handle confidential information with discretion and professionalism.
- Problem-solving skills and the ability to remain calm under pressure.
- Knowledge of medical terminology, insurance procedures, and billing processes is preferred.
