**Responsibilities**:
1. Facilitate communication between departments to ensure smooth coordination and collaboration.
3. Create and send invoices to clients in a timely manner, ensuring accuracy and completeness of all billing information.
4. Prepare and send price quotes to potential clients, incorporating pricing guidelines and product information as needed.
5. Input bill information into our software system accurately and efficiently, maintaining up-to-date records of all transactions.
6. Assist in resolving billing discrepancies or issues by liaising with relevant departments and clients.
7. Maintain organized filing systems for invoices, quotes, and other administrative documents.
8. Assist with general office tasks such as ordering supplies, scheduling meetings, and coordinating appointments.
9. Support other team members and departments with administrative tasks and special projects as needed.
10. Uphold confidentiality and discretion in handling sensitive information and documents.
Qualifications:
1. Previous experience in office administration, preferably in a similar role.
2. Proficiency in Microsoft Office suite (Word, Excel, Outlook) and experience with accounting or billing software.
3. Excellent communication skills, both written and verbal, with the ability to interact professionally with colleagues and clients.
4. Strong organizational skills and attention to detail, with the ability to manage multiple tasks simultaneously.
5. Ability to work independently and take initiative to solve problems efficiently.
6. A proactive and positive attitude, with a willingness to adapt to changing priorities and deadlines.
7. High school diploma or equivalent; additional certification in office administration or related field is a plus.
