Front Office Executive

The Front Office Executive is responsible for managing the front desk operations of the hotel. This includes greeting guests, handling check-in and check-out processes, providing information about hotel services, and ensuring that guests have a pleasant and comfortable experience during their stay. The role also involves supervising and coordinating the work of the front office team, handling guest inquiries, and ensuring smooth communication between different departments.
Key Responsibilities:
- **Guest Reception and Check-in/Check-out**:
- Greet guests with a warm and friendly demeanor upon arrival.
- Handle check-in and check-out procedures efficiently and accurately.
- Ensure the accurate processing of reservations and payments.
- Provide guests with information about hotel amenities, services, and local attractions.
- Ensure that all guest requests are handled promptly and professionally.
- **Guest Services**:
- Address guest inquiries, concerns, and special requests.
- Coordinate with other departments (housekeeping, maintenance, etc.) to fulfill guest needs.
- Manage guest complaints, resolve issues, and escalate when necessary.
- Offer additional services (e.g., arranging transportation, booking tours) to enhance guest experience.
- **Reservations Management**:
- Oversee the reservation system and ensure accuracy in booking details.
- Assist guests with making reservations, modifying or canceling existing bookings.
- Maximize room occupancy and revenue by managing availability and rates effectively.
- **Administrative Duties**:
- Maintain an organized and efficient front desk area.
- Prepare daily reports, including occupancy, revenue, and guest feedback.
- Monitor and track guest billing and charges to ensure accuracy.
- **Team Supervision and Coordination**:
- Supervise and train front office staff to ensure high standards of customer service.
- Provide leadership and guidance in addressing any challenges or problems that arise during shifts.
- Coordinate shift schedules and ensure that the front desk is adequately staffed at all times.
- **Security and Safety**:
- Ensure the safety and security of guests and hotel premises.
- Monitor the access control systems and ensure compliance with hotel policies and procedures.
- Respond to emergency situations and assist in the implementation of safety protocols.
- **Billing and Cash Handling**:
- Process payments and ensure all charges are accurately applied to guest accounts.
- Handle cash, credit card transactions, and other forms of payment securely.
- Reconcile cash drawers and report discrepancies when necessary.
- **Compliance and Policies**:
- Ensure compliance with all hotel policies, procedures, and legal requirements.
- Uphold high standards of cleanliness, service, and professionalism.
- Ensure that guest confidentiality is maintained in accordance with data protection regulations.
Qualifications & Skills:
- **Education**: High school diploma or equivalent; a degree in hospitality management or a related field is preferred.
- **Experience**: Previous experience in a hotel front office or customer service role is desirable.
- **Communication Skills**: Excellent verbal and written communication skills in English (additional languages are a plus).
- **Customer Service Orientation**: Strong focus on providing outstanding guest service.
- **Problem-Solving Skills**: Ability to handle guest complaints and resolve issues effectively.
- **Organization**: Strong organizational skills, attention to detail, and ability to multitask.
- **Teamwork**: Ability to work collaboratively with other hotel departments.
- **Professionalism**: High level of professionalism, punctuality, and reliability.
Working Conditions:
- **Hours**: Flexibility in working hours, as this role may require evening, weekend, or holiday shifts.
- **Environment**: Fast-paced hotel environment, requiring the ability to handle pressure and manage multiple tasks.
**Job Types**: Full-time, Permanent
Pay: ₹18,000.00 - ₹20,000.00 per month
