
Front Office Assistant

**Reception Management**:
- Greet and assist visitors in a polite and professional manner.
- Answer, screen, and forward incoming phone calls to appropriate departments.
- Manage visitor log and issue visitor badges.
- Handle client inquiries and direct them to the appropriate personnel
**Scheduling and Coordination**:
- Manage meeting room bookings and ensure that the rooms are prepared for meetings (e.g., checking audiovisual equipment, ensuring cleanliness, etc.).
- Schedule appointments and manage the daily calendar for senior management, if required.
- Assist in organizing internal and external events, including employee meetings, conferences, and client visits.
**Communication Handling**:
- Maintain communication with internal departments and external vendors.
- Act as a liaison between the IT company and its clients for general inquiries.
**Administration Support**:
- Assist with administrative tasks such as filing, maintaining records, preparing reports, and office documentation.
- Handle inventory and ordering of office supplies.
- Coordinate with the housekeeping team to ensure the office is clean and well-organized.
**Client Interaction and Support**:
- Provide excellent customer service to clients, addressing inquiries related to the company’s IT services.
- Manage client-related documentation and assist with onboarding new clients.
- Follow up on client requests and resolve concerns or escalate issues to the relevant department.
**IT and Systems Knowledge** (Basic):
- Use basic IT tools such as Microsoft Office (Word, Excel, PowerPoint) for reporting and data entry.
- Maintain a basic understanding of the company’s IT products/services to assist in responding to client queries.
- Coordinate with the IT support team to handle technical issues in the front office equipment (e.g., telephones, printers, and computers).
**Security and Confidentiality**:
- Ensure that all sensitive information is handled with confidentiality.
- Monitor and manage the security of the office premises (e.g., ensuring visitors follow security protocols).
**Required Qualifications**:
**Education**: Bachelor’s degree or equivalent in any discipline (preferably in business administration, communications, or related fields).
**Experience**: 1-3 years of experience in a front office, administrative, or customer service role (preferably in an IT company or corporate setting).
**Skills**:
Excellent communication skills (both verbal and written).
Strong organizational skills and attention to detail.
Proficiency in Microsoft Office Suite and basic IT systems.
Ability to multitask and work under pressure in a fast-paced environment.
Customer-service orientation and problem-solving attitude.
**Desired Skills**:
- Experience in handling basic administrative tools such as visitor management systems and office management software.
- Familiarity with IT industry terminology and products is an advantage.
**Work Environment**:
- Full-time position in a corporate office setting.
- The role may require occasional extended hours, especially during client visits or company events.
