Office Administrator Job DescriptionResponsibilities
- **Coordinate Office Activities**: Ensure efficiency and compliance with company policies.
- **Supervise Administrative Staff**: Divide responsibilities to ensure performance.
- **Manage Agendas and Appointments**: Handle travel arrangements and schedules for upper management.
- **Support Budgeting and Bookkeeping**: Assist with financial procedures.
- **Maintain Records and Databases**: Keep personnel, financial, and other data up to date.
- **Order Office Supplies**: Track stock and place orders when necessary.
- **Vendor Management**: Establish and maintain relationships with vendors, negotiate contracts, and ensure timely delivery of goods and services.
- **Procurement**: Manage procurement processes, including sourcing suppliers, obtaining quotes, negotiating prices, and ensuring timely delivery of goods and services.
- **Prepare Reports and Presentations**: Submit timely reports and assist with presentations and proposals.
- **Assist Colleagues**: Provide support whenever necessary.
**Requirements**:
- **Experience**: Proven experience as an office administrator, office assistant, or a similar role.
- **Skills**: Outstanding communication and interpersonal abilities, excellent organizational and leadership skills, familiarity with office management procedures, and basic accounting principles.
- **Technical Knowledge**: Proficiency in MS Office, Zoho Mail, and office management software.
- **Education**: High school diploma; a BSc/BA in office administration or a relevant field is preferred.
