**Key Job Activities**:
1. Calendar & Schedule Management
- Manage daily calendars for executives.
- Coordinate internal and external meetings, appointments, and events.
- Send meeting invites and ensure availability of meeting rooms and equipment.
2. Communication Handling
Draft, proofread, and format letters, memos, and reports.
Act as a gatekeeper and liaison between executives and internal/external contacts.
3. Travel & Logistics
Arrange domestic and international travel (flights, accommodation, visas).
Prepare travel itineraries and manage changes or disruptions.
Handle expense claims and reimbursement documentation.
4. Administrative Support
Prepare and organize presentations, documents, and meeting materials.
Handle data entry, filing, and records management (digital and physical).
Order office supplies and maintain resource inventory.
5. Meeting Coordination
Schedule and coordinate board meetings, team meetings, and conference calls.
Take and distribute meeting minutes.
Track action items and follow up on deliverables.
6. Confidential Support
Maintain and handle confidential information with discretion.
Support HR-related tasks like interview scheduling or onboarding assistance.
7. Reporting & Project Assistance
Compile and format reports, dashboards, or data summaries.
Assist with small projects or initiatives, acting as point-of-contact or coordinator.
8. Workflow Optimization
Identify and suggest improvements to admin processes.
Develop or maintain SOPs (Standard Operating Procedures) for admin functions.
9. Resource & Budget Tracking
Support in tracking budgets, resource allocation, and material usage.
Alert managers of any deviations or potential overruns.
