**Job Summary**:
**Responsibilities**:
- 1. Reception Duties:_
- Greet and welcome clients and visitors in a friendly and professional manner.
- Answer incoming calls, transfer calls to appropriate personnel, and take accurate messages when required.
- Maintain a neat and organized reception area, ensuring it is presentable at all times.
- Assist clients with general inquiries and provide information about the center's services.
- 2. Administrative Support:_
- Provide administrative assistance to the counselors and staff members of the center.
- Schedule client appointments and manage the counseling center's appointment calendar.
- Maintain and update client records, ensuring accuracy and confidentiality.
- Assist in preparing and organizing documents, reports, and presentations as required.
- Manage inventory of office supplies and place orders when necessary.
- Assist with billing, invoicing, and processing payments as directed by the administrative team.
- 3. Communication and Coordination:_
- Communicate effectively with clients, staff members, and external parties, both in person and through various communication channels.
- Coordinate with counselors and clients to ensure appointment schedules are optimized efficiently.
- Collaborate with the administrative team to support the overall functioning of the center.
- 4. General Office Management:_
- Perform general clerical tasks such as photocopying, scanning, filing, and faxing documents.
- Monitor and maintain office equipment, including printers and copiers.
- Assist in maintaining a clean and organized office environment.
- Assist in organizing and coordinating meetings, conferences, and events as required.
**Requirements**:
- A minimum of 2-4 years of relevant experience as a receptionist or administrator.
- Strong interpersonal and communication skills with a customer-service-oriented approach.
- Excellent organizational and time management abilities.
- Proficient computer skills, including knowledge of Microsoft Office suite.
- Attention to detail and ability to maintain confidentiality.
- Ability to multitask and prioritize tasks effectively in a fast-paced environment.
- Familiarity with administrative processes and office management procedures.
- Ability to work both independently and collaboratively as part of a team.
