**Job description**
Responsible for managing the executives schedule, coordinating meetings, handling communication, and ensuring the smooth operation of the office.
The Executive Assistant serves as the primary point of contact for internal and external stakeholders, and their efficiency and professionalism contribute significantly to the executives productivity and effectiveness.
Key Responsibilities:
- Manage and maintain the executives schedule and calendar
- Coordinate meetings, including scheduling, agenda preparation, and venue arrangements
- Prepare and edit correspondence, communications, presentations, and other documents
- Conduct research and compile data to prepare reports and documents for review
- Manage travel arrangements and itineraries for the executive
- Handle confidential and sensitive information with integrity and professionalism
- Assist in the preparation and coordination of meetings, conferences, and events
- Provide administrative support, including filing, data management, and record-keeping
- Coordinate and oversee special projects and initiatives as assigned
- Act as the liaison between the executive and internal/external stakeholders
- Provide backup support for other administrative duties as needed
- Handle ad-hoc administrative tasks and requests with efficiency and professionalism
- Oversee and prioritize the executives daily workload, ensuring timely completion of tasks
- Facilitate effective communication and collaboration within the executives office and with other departments
Required Qualifications:
- Bachelors degree in Business Administration, Communications, or related field
- Proven experience as an executive or administrative assistant supporting senior-level management
- Exceptional organizational and time management skills
- Outstanding communication and interpersonal abilities
- Proficiency in MS Office, including Word, Excel, and PowerPoint
- Ability to maintain the highest level of confidentiality and discretion
- Strong problem-solving and decision-making skills
- Ability to work effectively under pressure and prioritize tasks
- Detail-oriented with excellent multitasking abilities
- Familiarity with office management systems and procedures
