**Position**: Business Secretary
**Department**: BUSINESS MANAGEMENT TEAM
**Reports to**: CEO/Managing Director/Board of Directors

**Job Summary**

**Key Responsibilities**
- **Executive Support & Communication**:

- Act as the primary point of contact between executive management and internal/external stakeholders.
- Manage calendars, meetings, and events for senior management, including coordinating appointments, travel, and accommodations.
- Prepare and edit correspondence, communications, presentations, and other documents as required.
- Assist in drafting, proofreading, and sending clear and accurate communications.
- **Corporate Governance & Compliance**:

- Ensure adherence to corporate governance policies, maintaining records for regulatory and compliance requirements.
- Organize and maintain official corporate documentation, including board resolutions, minutes, and contracts.
- Coordinate board meetings, including agenda preparation, minute-taking, and distribution of board materials.
- **Legal Contract Management**:

- Draft, review, and manage legal contracts, agreements, and other legal documents to ensure compliance with legal standards.
- Collaborate with legal counsel to interpret contract terms and highlight key obligations or issues for management.
- Track contract timelines, renewals, and expirations to ensure timely updates and avoid lapses.
- **Risk Management & Confidentiality**:

- Identify and mitigate risks associated with corporate governance, contracts, and legal obligations.
- Maintain the confidentiality of sensitive information in communications, meetings, and documents.
- Implement best practices to ensure data security and compliance with legal requirements.
- **Administrative and Office Management**:

- Oversee office operations, supplies, and other administrative tasks to ensure efficient operations.
- Liaise with external vendors, suppliers, and legal representatives as needed.
- Support financial administration, including invoice processing, expense reports, and budgeting for administrative expenses.

**Skills and Qualifications**
- **Education**: Bachelor’s degree in Business Administration, Legal Studies, or related field.
- **Experience**: 3+ years of experience as a Business Secretary, Legal Assistant, or similar administrative role.
- **Communication Skills**: Excellent written and verbal communication skills to effectively liaise with stakeholders at all levels.
- **Legal Knowledge**: Strong understanding of contract law and corporate governance; experience with contract management is a must.
- **Organizational Skills**: High level of organization and attention to detail with the ability to multitask and prioritize.
- **Technical Skills**: Proficiency in MS Office Suite, contract management software, and other administrative tools.
- **Interpersonal Skills**: Professional demeanor with the ability to maintain confidentiality and build relationships across departments.

**Competencies**
- **Attention to Detail**: Ability to review documents and contracts meticulously, catching any discrepancies or issues.
- **Problem-solving**: Proactively address challenges related to contract terms, legal requirements, and administrative processes.
- **Time Management**: Strong ability to handle multiple tasks and manage time efficiently to meet deadlines.

Pay: ₹18,000.00 - ₹35,000.00 per month
