**Overview**:
As a Document Controller, your primary responsibility is to manage and organize documents within an organization efficiently. You will be responsible for ensuring that all documents are accurately filed, stored, and easily accessible to authorized personnel. Your role is crucial for maintaining smooth operations and compliance within the organization.
**Key Responsibilities**:
**Document Management**:
- Oversee the creation, review, distribution, and storage of documents.
- Implement and maintain document control procedures to ensure efficiency and accuracy in document handling.
- Organize documents according to established protocols, including naming conventions and version control.
**Quality Assurance**:
- Ensure that all documents meet quality standards and comply with regulatory requirements.
- Conduct regular audits to verify document accuracy, completeness, and adherence to established procedures.
- Identify and address any discrepancies or non-conformities in document management processes.
**Version Control**:
- Maintain version control of documents to prevent errors and confusion.
- Track changes made to documents and manage revision history effectively.
- Coordinate with relevant stakeholders to obtain approvals and signatures for document revisions.
**Document Retrieval and Distribution**:
- Facilitate document retrieval requests promptly and accurately.
- Distribute documents to authorized personnel in a timely manner, ensuring confidentiality and security.
- Maintain a system for tracking document distribution and access permissions.
**Training and Support**:
- Provide training and support to staff on document management procedures and tools.
- Serve as a point of contact for document-related inquiries and troubleshooting.
- Continuously improve document control processes and systems based on feedback and best practices.
**Collaboration and Communication**:
- Collaborate with cross-functional teams to ensure effective document management across departments.
- Communicate updates, changes, and important information related to document control processes to relevant stakeholders.
- Foster a culture of compliance and accountability regarding document management practices.
**Qualifications**:
- Bachelor’s degree in a relevant field (e.g., Business Administration, or a related discipline).
- Fresher or experience in document control, records management, or a similar role.
- Proficiency in document management software and tools (e.g., Microsoft SharePoint, Documentum, or similar systems).
- Strong attention to detail and organizational skills.
- Excellent communication and interpersonal abilities.
- Ability to work independently and prioritize tasks effectively.
Location: Sriperumbudur, Bangalore and Perambalur
**Salary**: ₹12,000.00 - ₹15,000.00 per month
