**Position Overview**
We are seeking a highly organized, adaptable, and committed **Administrative Operations Executive** to support our leadership team and organizational processes. This role is essential to ensuring the seamless execution of administrative tasks, coordination of operations, and effective internal and external communication across time zones.
**Key Responsibilities**
**1. Administrative Support**
- Manage complex calendars, appointments, and scheduling needs.
- Coordinate domestic and international travel, including flights, hotels, and itineraries.
- Maintain digital and physical records while ensuring confidentiality and accessibility.
**2. Meeting & Event Coordination**
- Schedule and coordinate meetings across departments and time zones.
- Prepare agendas, take minutes, and follow up on key action items.
- Organize internal team sessions, events, and external meetings, including logistics and support.
**3. Documentation & Reporting**
- Prepare reports, internal dashboards, and presentations.
- Draft professional business correspondence, memos, and summaries.
- Maintain updated documentation and records for executive and team reference.
**4. Project & Task Coordination**
- Assist in tracking timelines and deliverables of key initiatives.
- Coordinate with multiple departments to ensure completion of projects.
- Support research tasks and contribute to strategic planning processes.
**5. Communication Liaison**
- Act as the central point of contact between leadership, teams, clients, and vendors.
- Manage executive communication and follow up on priority matters.
- Represent leadership in external coordination when necessary.
**6. Financial & Operational Support**
- Handle basic expense tracking, reimbursements, and budget updates.
- Liaise with the finance team for invoice submissions and compliance checks.
- Ensure all reporting aligns with organizational processes.
**7. Personal & Logistical Support**
- Coordinate executive personal schedules and travel.
- Assist with appointments, household service bookings, and basic personal tasks.
- Organize small-scale personal events as needed.
**Working Hours & Expectations**
This role requires flexibility and commitment:
- **Working Hours**: Approximately 9-10 hours/day including support beyond standard shifts.
- **Global Coordination**: Must be available during select night-time hours for communication with international leadership.
**Essential Skills & Qualifications**
- Bachelor's degree or equivalent experience.
- Minimum 3 years in administrative or operations support roles.
- Fluent in English (written and verbal).
- Proficiency with MS Office, Google Workspace, Zoom, Slack, Trello, or similar tools.
- Strong organizational, communication, and multitasking abilities.
- Discretion and integrity when managing confidential information.
