**Job Description Summary**: This role involves working as part of a critical transformation team within Finance and its purpose is to administer and monitor project and (its sub projects) such that cost, quality, plan, time, and benefits realization are controlled and achieved, through ensuring that all projects adhere to the timelines and the team is connected to meet the ultimate goal. Responsible for project operations and programs support including standardization, quality management, document management, methods creation and maintenance, process improvement and tools for the project management function.
Main responsibilities of the PMO manager include: managing plans; benefits and quality management; stakeholder management; portfolio management; Outsource/MSP programme support, and Transformation initiative project management support; and risk and issue management. Integral to delivering these responsibilities will be programme management support; maintaining risks, issues, assumptions, actions logs; resource forecasting; dependency management; and programme reporting.
Operationally, the PMO provides and supports the transformation office in all aspects of total project, management, information, financial reporting, resource planning and governance.
**Roles and Responsibilities**
- Responsible for defining, deploying and managing project management related processes and support tools.
- Ensure the successful monitoring and governance of the PMO’s strategy, responsibilities, services and deliverables. Monitor Programme reporting and assist team in reporting to Senior Management and stakeholders.
- Has knowledge of best practices and how transformation area integrates with overall business outcomes; is aware of the external best practices and the factors that differentiate them in the market
- Establish frameworks and standards for Programme and Project Management Manage and compile Programme related financial and KPI information Oversee project KPIs and ensure KPIs are well managed
- Provide and maintain a change request and capacity planning and resource tracking service across the Managed Service Provider (MSP)
- Update and maintain the Risk Log, Action Log, Decisions Log, and Issue Register
- Partner with finance to Track financial reporting whilst ensuring that the programme and projects adhere to the agreed budget
- Ensure cross-programme dependencies are managed and the dependency log is accurately maintained.
- Coordinate project closure to distil good practice and ensure lessons learned are logged.
- Define and embed project control and governance
- Financial Management; Change Management across the project portfolio
- Prepare regular status reporting for the engagement leadership.
**Required Qualifications**
- This role requires advanced experience in the Project Management & Processes and Tools. Knowledge level is comparable to a Bachelor's degree from an accredited university or college ( or a high school diploma with relevant experience).
- Minimum 4-5 years of PMO experience in transformation
- Experience is working with shared service providers/MSP
- Experience of project management using Smartsheet and Tableau
- Strong skills in creating and maintaining project and programme plans, including risks, actions, issues, dependencies
- Knowledge of benefits and dependency mapping, risk management and resource planning
- Highly proficient IT skills in Word, Excel, PowerPoint, and MS project
