**Job Summary:

The Executive Assistant will provide high-level administrative support to the MD and other senior executives. This role involves managing schedules, coordinating meetings, handling communication, and performing various tasks to ensure the efficient operation of the executive office.

**Primary Responsibilities:

**1. Administrative Support**:

- Manage the MD’s calendar, including scheduling appointments, meetings, and travel arrangements.
- Prepare and edit correspondence, reports, presentations, and other documents.
- Maintain filing systems and ensure the confidentiality of sensitive information.

**2. Meeting Coordination**:

- Organize and coordinate meetings, including preparing agendas, taking minutes, and following up on action items.
- Arrange conference calls, video conferences, and in-person meetings.
- Ensure all necessary materials and equipment are available for meetings.

**3. Travel Arrangements**:

- Plan and book travel arrangements for the MD, including flights, accommodations, food and transportation.
- Prepare travel itineraries and ensure all travel documents are in order.

**4. Project Management**:

- Assist with special projects, research, and tasks as assigned by the MD.
- Coordinate cross-departmental projects and ensure timely completion.
- Track progress and provide regular updates on project status.

**5. Communication**:

- Serve as a liaison between the MD and other executives, employees, and external partners.
- Draft and manage communications on behalf of the MD.
- Ensure timely and accurate dissemination of information.

**6. Event Planning & Office Management**:

- Assist in planning and organizing company events, meetings, and conferences.
- Coordinate logistics, including venue selection, catering, and guest accommodations.
- Oversee office supplies and equipment, ensuring everything is well-stocked and functioning.
- Manage expense reports and budgets for the executive office.

**Requirements & Skills:

- Bachelor’s degree in Business Administration, Communications, or a related field preferred.
- Exceptional organizational and time-management skills.
- Strong written and verbal communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Scrum Master ).
- Ability to handle sensitive information with discretion.
- Excellent interpersonal skills and the ability to work effectively with all levels of the organization.
- Strong problem-solving abilities and attention to detail.
