- Knowledge of Advance Excel, MS- Word, Power Point, SAP, IATA will be added advantage- Purpose of the Position (Job Summary)- The incumbent will be responsible for researching, arranging and coordinating travel, transportation and accommodation for employees according to a specific business and travel budget needs.
- Relevant experience in a Travel field is absolutely necessary and an education in Travel and Tourism.
- Key Roles and Responsibilities- Financial- Travel reservations, this includes arranging travel as and when applicable and seeking lowest logical airfare options;
- Hotel reservations pre-pay all room and taxes for all reservations - Requires initial per-payment directly to hotel and, follow up for check-out invoice.
- Confirm lowest logical hotel booking.
- Customer Oriented- Help resolve staff travel issues such as trouble shooting unforeseen delays.
- Seek opportunities and offer suggestions to improve travel process;
- People Oriented- Incumbent should book flights, arrange ground transportation and hotel accommodations, and provides travelers with directions and destination information [if solicited].
- Knowledge of relevant flight regulations and required travel documentation are a must.
- Because of the unpredictable nature of Travel Profile and the complex task of coordinating employee schedules with business deadlines, the Officer - Travel Desk should be an exceptional organizer, communicator, multi-tasker and problem-solver.
- Internal Business Process- End to end process of all bills timely for vendors.
- Coordinate visa and travel procedures as needed by staff;
- Track and update returns, ticket validity, unused ticket log and refunds and train new staff on policies and procedures.
- Facilitate entry/transit visa process & determine best place for submission by working with visa service, embassies and/or field offices.
- Maintain international sponsor letters, collect photos, passport and ensure delivery of docs via shipping couriers.
