**Job Summary**:
The Receptionist is the face of the hotel, providing the first point of contact for guests. She is responsible for welcoming guests, handling check-in/check-out procedures, answering inquiries, and providing exceptional customer service to ensure guests have a memorable experience.
**Key Responsibilities**:
- **Guest Check-in/Check-out**:
- Greet guests warmly upon arrival and manage the check-in/check-out process efficiently.
- Ensure proper documentation, verify guest identification, and process payments.
- **Reservation Management**:
- Handle phone and online reservations, ensuring accuracy and timeliness in updating booking systems.
- Respond to booking inquiries, changes, and cancellations.
- **Customer Service**:
- Provide concierge services, including answering questions, offering recommendations, and assisting with any special requests.
- Address and resolve guest complaints or direct them to the appropriate manager when necessary.
- Offer information about the hotel’s services, amenities, and local attractions.
- **Communication**:
- Serve as the liaison between guests and other hotel departments (housekeeping, maintenance, etc.) to address issues or requests.
- Ensure prompt communication with the team to maintain smooth operations at all times.
- **Administrative Duties**:
- Manage the reception area, ensuring it is clean, organized, and welcoming.
- Maintain records, logs, and reports, including guest accounts, room status, and inventory of front desk supplies.
- Ensure compliance with hotel policies and procedures.
- **Payment Processing**:
- Handle cash, credit card transactions, and billing for guests efficiently and accurately.
- **Safety and Security**:
- Ensure guest and staff safety by following hotel security protocols and procedures.
- Report any suspicious activity or security concerns to the manager.
**Qualifications**:
- High school diploma or equivalent; a degree in hospitality is a plus.
- Prior experience as a receptionist or in a customer service role, ideally in the hotel industry.
- Excellent communication and interpersonal skills.
- Proficiency in hotel management software (e.g., Opera, PMS systems) and MS Office Suite.
- Ability to handle stressful situations with poise and professionalism.
- Friendly, approachable, and well-groomed.
- Fluency in English; knowledge of other languages is an asset.
