We at InstaSafe are seeking a highly organized and detail-oriented individual to join our team as an Administrative Assistant.
As an integral member of our organization, the Admin Assistant will provide vital support to ensure the smooth operation of daily administrative tasks and contribute to the overall efficiency and effectiveness of our operations team.
**Responsibilities**:
1. Perform general administrative tasks for day to day smooth running of the office administration.
2. Greet and assist visitors, ensuring a positive and professional experience.
3. Prepare and organize documents, reports, and presentations using appropriate software tools.
4. Coordinate and schedule meetings, conferences, and travel arrangements for team members.
5. Maintain and update filing systems, both physical and digital, ensuring easy retrieval of information.
6. Assist with the preparation and distribution of internal communications and announcements.
7. Provide support in coordinating and executing company events and special projects.
8. Monitor and maintain inventory of office supplies, and place orders as necessary.
9. Collaborate with other team members to facilitate effective communication and workflow.
10. Assist in the preparation and processing of expense reports, invoices, and other financial documents.
11. Conduct research and compile data as required for various projects and reports.
12. Handle sensitive and confidential information with discretion and maintain confidentiality at all times.
13. Assist in the onboarding process for new employees, including organizing orientation materials and facilitating introductions.
14. Undertake other administrative tasks as assigned to ensure the smooth functioning of the office.
Required qualification and skills:
1. Minimum graduate
2. 1-3 years of proven experience as an administrative assistant or in a similar role.
3. Excellent verbal and written communication skills.
5. Strong organizational skills with the ability to prioritize tasks and meet deadlines.
6. Attention to detail and accuracy in completing tasks.
7. Ability to handle multiple tasks simultaneously while maintaining a high level of professionalism.
8. Proactive problem-solving skills and the ability to work independently.
9. Strong interpersonal skills and the ability to work effectively with individuals at all levels of the organization.
10. Knowledge of basic accounting principles and experience with financial documentation is a plus.
11. Discretion and confidentiality when handling sensitive information.
**Salary**: ₹15,000.00 - ₹20,000.00 per month
