Job Title: Receptionist

Job Overview: The receptionist serves as the first point of contact for visitors and callers, offering administrative support and ensuring smooth day-to-day operations at the front desk. This role requires excellent communication, organizational, and customer service skills to create a welcoming and professional environment.

**Responsibilities**:
1. Greeting Visitors: Welcome visitors and guests, providing a professional and friendly first impression of the company.

2. Answering Phone Calls: Handle incoming calls, direct them to appropriate departments or individuals, and take messages when necessary.

3. Scheduling Appointments: Manage appointment calendars, schedule meetings, and coordinate conference room bookings.

4. Administrative Support: Assist with clerical tasks such as filing, organizing documents, data entry, and managing office supplies.

5. Mail and Package Handling: Receive and distribute incoming mail, packages, and deliveries, ensuring timely delivery to the appropriate recipients.

6. Managing Office Supplies: Monitor and maintain inventory levels of office supplies, placing orders as needed.

7. Maintaining the Reception Area: Ensure the reception area is neat, organized, and presentable at all times.

8. Customer Service: Provide general information to clients and visitors, answer questions, and resolve minor issues to ensure a positive experience.

9. Security: Ensure the safety and security of the office by monitoring visitor access and following company protocols.

10. Support Staff and Management: Provide administrative support to staff, assist with document preparation, and support the overall functioning of the office.

Skills & Qualifications:
1. Communication Skills: Strong verbal and written communication skills, with the ability to engage with visitors and staff effectively.

2. Customer Service Skills: Excellent interpersonal skills, with a friendly and approachable demeanor to create a welcoming environment.

3. Organizational Skills: Ability to manage multiple tasks and prioritize responsibilities efficiently.

4. Attention to Detail: Ensuring accuracy when taking messages, scheduling appointments, or handling correspondence.

6. Time Management: Ability to handle a busy front desk and manage time effectively.

7. Professional Appearance: Presentable and professional appearance, as the receptionist is often the first point of contact with clients or customers.

Educational Requirements:
High school diploma or equivalent (Associate’s or Bachelor’s degree in Office Administration or related field may be preferred).

Previous experience in a receptionist or customer service role is often preferred but not always required.
