Mission:


As a Client Operations Coordinator, your mission will be to support our program leads and engagement managers by managing the administrative tasks essential to the success and compliance of client projects. You will ensure efficient project management through seamless coordination and adherence to program administration processes. By maintaining robust operational support, you will contribute to an organized, compliant, and scalable project workflow, supporting both our clients and internal teams as our firm continues to grow.




Outcomes:


Contract Support & Internal Legal Coordination:

  • Coordinate with project teams for final review and facilitate legal checks for compliance and accuracy.
  • Assurance/ coordination with Project Managers for contract signing and program onboarding


Project Code Management:

  • Ensure proper project categorization and updating within the project management systems.
  • Project tracking and MIS Generation
  • Generate and prepare Management Information System (MIS) reports by coordinating with project teams as needed, to provide data insights for Sales, Resourcing, and Operations calls.
  • Create summaries and actionable reports to support strategic planning and decision-making for operations meetings.


Project Quality Assurance Support:

  • Monitor and support compliance for all ongoing projects by following checklists and compliance requirements.
  • Work closely with project teams to ensure adherence to project management protocols and regulatory guidelines.
  • For programs at Risk, track the various project delivery aspects for quality review against the standard Alysian practices and work with Engagement Teams to resolve the issues


Documenting best practices/ checklists for internal roll-out:

  • Develop checklist and process SOPs to be shared with program teams for program delivery
  • Provide KT, checklist for program managers/ directors for effective program tracking


CRM Management & Coordination:

  • Update and maintain CRM (Customer Relationship Management) systems in collaboration with Engagement Managers and Directors.
  • Track client interactions, engagement statuses, and key milestones to ensure accurate, up-to-date client data for project continuity.


Resource Tracking & Timesheet Compliance:

  • Track resource allocation to projects and monitor resource utilization rates.
  • Support engagement teams in project locking, timesheet submission compliance, and resource planning to optimize staffing and project efficiency.


Requirements


Education:

  • Bachelor’s degree in Business Administration, Operations Management, Finance or a related field.


Experience:

  • Minimum of 2-3 years of experience in a project coordination, operations, or administrative role, preferably within a consulting, professional services, or similar client-facing industry.
  • Experience with CRM software (preferably Zoho CRM or similar), project management tools (preferably Zoho Projects or similar) and contract management software (e.g., Zoho Contracts)
  • Experience working with international / multi-country teams


Skills:

  • Strong organizational skills with a high level of attention to detail and accuracy
  • Proficiency in Microsoft Office Suite, particularly Excel for reporting and data tracking, with analytical mindset with an ability to generate meaningful insights from reports.
  • Ability to manage multiple projects simultaneously, prioritizing tasks effectively to meet deadlines.
  • Excellent communication skills, both written and verbal, with a collaborative, client-focused approach.


Preferred:

  • Experience in financial analysis, including WIP and Cost management and basic understanding of accounts receivable/payable + familiarity with timesheet management systems in project-based environments.
