Quince intends to engage a Service Provider on a contractual basis for a period of 6 months to deliver HR coordination and office administration support at our Gurugram office.

The Service Provider will work closely with the People team, IT, facilities vendors, and leadership to ensure smooth operations and support employee experience initiatives.

Key Deliverables

Employee Experience Support

  • Facilitate Day 1 joining logistics for new hires and coordinate onboarding activities.
  • Coordinate employee engagement activities, including events, celebrations, and town halls.
  • Act as the first point of contact for facility-related or general HR support queries.
  • Assist in administering surveys, collating feedback, and supporting HR-led initiatives (wellness, learning, policy rollouts).
  • Support HR with coordination of performance review cycles and reporting requirements.

Office Operations & Facilities Management

  • Oversee day-to-day office functioning, including seating, housekeeping, cafeteria, and supplies.
  • Liaise with and manage vendor relationships (housekeeping, security, pantry, transport, courier, etc.).
  • Monitor utilities, access cards, and ensure ongoing maintenance of the office premises.

Procurement & Inventory

  • Maintain adequate stock of office supplies, pantry items, and non-IT office assets.
  • Track, document, and report office-related expenses, ensuring cost efficiency.

Administrative Support

  • Manage courier services, postage, and document filing.
  • Coordinate with building management for repairs, parking, and ID card management.
  • Provide assistance with travel booking support, as required.

Qualifications Required of Service Provider

  • Bachelor’s degree preferred.
  • 3–6 years of experience providing HR coordination and office administration services.
  • Proficiency in MS Office / Google Workspace.
  • Strong organizational, time management, and communication skills.
