We are seeking multiple candidates for our Front Office Team & Reception Openings. This is an immediate joining role. Kindly note: We are looking for a minimum of 2 Years experience for this role.
Overview of the Role & Responsibilities:
1. Patient and Visitor Interaction:
Greet patients and visitors warmly and ensure a friendly, professional demeanor at all times.
Address inquiries in person, over the phone, or via email regarding clinic services, appointments, and general information.
Manage patient check-in and check-out processes efficiently.
2. Appointment Scheduling and Management:
Coordinate and schedule patient appointments, ensuring minimal wait times and effective use of clinic resources.
Confirm and remind patients of upcoming appointments via calls, texts, or emails.
Manage the clinic's scheduling system to prevent overlaps or conflicts.
3. Administrative Duties:
Maintain accurate patient records and update the database with new information as needed.
Handle billing and payment collection for consultations and treatments.
Prepare daily, weekly, and monthly reports as required by the administration.
4. Support for Clinic Operations:
Coordinate with clinical and administrative staff to ensure smooth patient flow.
Assist in the management of inventory and ordering of front desk supplies.
Maintain the cleanliness and organization of the front desk area.
5. Customer Service:
Resolve patient concerns or escalate them to the appropriate department promptly.
Gather feedback from patients to improve service quality.
6. Communication:
Act as the liaison between patients, medical staff, and other departments.
Ensure effective dissemination of clinic policies and information to patients.
Key Skills and Competencies:
Exceptional communication and interpersonal skills.
Strong organizational and multitasking abilities.
Proficiency in using clinic management software & Microsoft Office,
Professional appearance and demeanor.
Ability to work under pressure and handle stressful situations calmly.
Qualifications and Experience:
Bachelor’s degree or diploma in hospitality, healthcare management, or related fields preferred.
Minimum of 2 years of experience in a front desk or customer service role, ideally in a healthcare setting.
Familiarity with medical terminology and patient management systems is a plus.
Work Schedule:
Full-time; shifts may include evenings and weekends depending on clinic hours.
