Job Summary
We are seeking a highly organized and detail-oriented Pay Applications Manager to manage the preparation, submission, and tracking of pay applications for construction projects. The role requires close collaboration with project managers, subcontractors, and clients to ensure accurate billing, contract compliance, and timely payments. This position demands a strong understanding of construction contracts, financial management, and exceptional communication skills.
Key Responsibilities
Pay Application Management
Review project contracts, schedules of values, and cost codes to prepare accurate and complete pay applications.
Gather and verify all required documentation, including lien waivers, change orders, and supporting invoices.
Submission and Tracking
Submit pay applications to clients and monitor their progress to ensure timely approvals and payments.
Maintain detailed records of submitted applications, tracking their status through completion.
Compliance and Documentation
Ensure all pay applications align with contract terms, regulatory standards, and company policies.
Manage lien waiver collection and organize records for audits and future reference.
Collaboration and Dispute Resolution
Serve as the primary liaison between the company, subcontractors, and clients for payment-related matters.
Address and resolve discrepancies or disputes related to billing, contract terms, or scope of work.
Reporting and Financial Analysis
Provide regular updates to project managers and finance teams on pay application statuses.
Analyze payment trends and recommend process improvements to enhance cash flow efficiency.
Qualifications Required:
Bachelor’s degree in accounting, finance, business administration, or a related field.
3–5 years of experience in construction pay applications, billing, or related financial roles.
Strong knowledge of construction contracts, AIA billing formats, and lien waiver processes.
Proficiency in construction management software (e.g., Procore, Viewpoint, Sage) and Microsoft Excel.
Excellent organizational and communication skills with attention to detail.
Preferred:
Familiarity with construction industry regulatory and compliance requirements.
Experience managing pay applications for multiple projects and stakeholders.
Certification in construction management, accounting, or a related field (e.g., CCP, CMA).
