Executive assistant to vice president

Location: Bommasandra *ONLY DIVERSITY CANDIDATES CAN APPLY* Domnic Lewis has been mandated to hire for Executive Assistant The Executive Administrative Assistant is responsible for providing high-level support to executives and management, optimizing workflow procedures within the office. This role includes a variety of clerical and administrative tasks such as scheduling meetings, drafting correspondence, managing emails, handling visitors, routing calls, making travel arrangements, preparing reports, organizing documents, and performing basic bookkeeping. Additionally, the role involves participating in selective reviews with the VP of Product Supply , taking minutes, and following up on action items with stakeholders, while ensuring adherence to company policies. Proficiency in the SAP system is essential. Job Responsibilities: Answer and redirect phone calls as necessary Manage daily, weekly, and monthly agendas, arranging meetings and appointments Prepare and distribute correspondence, memos, and forms Support the completion of regular reports Develop and maintain an organized filing system Make travel arrangements and document expenses for reporting Prepare financial statements, reports, memos, invoices, and other documents Handle basic bookkeeping tasks File and retrieve corporate records, documents, and reports Conduct research and prepare documents for review and presentation by executives and boards Assist in meeting preparations and accurately record minutes Greet visitors and determine their eligibility to meet with executives Utilize various software applications, including word processing, spreadsheets, databases, and presentation tools Analyze incoming memos and submissions, distributing them as needed Perform office duties, including ordering supplies and managing a records database Provide general administrative support and assist as needed Participate in selective reviews with the VP of Product Supply, taking minutes and following up on action items Ensure compliance with company policies Maintain proficiency in the SAP system Job Requirements: Education: Minimum of a graduate degree in a related field Knowledge, Skills, and Abilities: Proven experience as a secretary, executive assistant, or administrative assistant Familiarity with office organization and optimization techniques Strong multi-tasking and time management skills Ability to prioritize and manage a daily workload effectively Capacity to meet deadlines in a fast-paced, dynamic environment Proactive problem-solving skills with strong decision-making abilities Excellent written and verbal communication skills Integrity and professionalism Proficiency in MS Office and Power Point Fluency in English Experience: 3-5 years of relevant experience in the field
