The Executive Assistant will play a key role in managing the administrative functions that allow our team to operate at peak efficiency. You’ll be responsible for managing schedules, arranging travel and visas, coordinating meetings, and ensuring all team reviews are set up and running seamlessly.
Who You Are
Highly organized with a knack for anticipating the needs of the team and handling complex schedules.
A self-starter who can work autonomously and take ownership of tasks from start to finish.
Strong communication skills with the ability to coordinate across multiple departments and stakeholders.
Detail-oriented with the ability to prioritize and manage multiple tasks in a fast-paced startup environment.
Comfortable with handling sensitive information with discretion and confidentiality.
Manage scheduling and calendars for the leadership team, ensuring optimal time management and availability.
Oversee travel arrangements for the team, including flight bookings, accommodations, visas, and itineraries.
Coordinate and set up internal and external meetings, including company-wide reviews, check-ins, and performance meetings.
Ensure team reviews and other regular assessments are scheduled, organized, and run smoothly.
Act as a liaison between executives and key stakeholders for meeting coordination and follow-ups.
Assist with ad-hoc projects and initiatives as needed to support the leadership team.
Skills that set you apart:
Minimum of 4 years of experience as an Executive Assistant, preferably in a fast-paced, startup environment.
Proven experience with calendar management, travel booking, and coordinating executive schedules.
Excellent organizational skills with a focus on attention to detail.
Strong proficiency in MS Office and communication tools like Teams.
Ability to handle multiple projects and prioritize effectively.
Experience in managing visa processes for international travel.
Strong problem-solving skills and the ability to remain calm under pressure.
Flexibility to work in US time zones on need basis
Additional Information
The position reports directly to the CEO, with a hybrid work model.
