Position: Administrative Executive
Reports to: School Principal
Location: Central Office
Job Summary: The Administrative Executive at Bloomingdale International School is responsible for providing comprehensive administrative support to ensure the efficient operation of the school. This role involves coordinating various administrative tasks, managing communication, and supporting the school’s administrative staff and faculty.
Key Responsibilities:
Office Administration:
Manage the front office, including answering phones, greeting visitors, and handling inquiries.
Maintain and organize office records, files, and databases.
Ensure office supplies are stocked and equipment is well-maintained.
Communication Management:
Serve as the primary point of contact for internal and external communications.
Draft, proofread, and distribute correspondence, emails, and other official documents.
Coordinate communication between the school administration, faculty, parents, and students.
Scheduling and Coordination:
Manage the school calendar, scheduling meetings, appointments, and events.
Assist in organizing school events, such as parent-teacher meetings, assemblies, and special functions.
Coordinate travel arrangements and accommodations for staff and visitors as needed.
Support to School Administration:
Provide administrative support to the school principal and other senior staff.
Prepare reports, presentations, and other documents for meetings and conferences.
Assist with the preparation and management of the school budget.
Enrollment and Admissions Support:
Assist with the student admissions process, including handling inquiries, processing applications, and maintaining enrollment records.
Support the admissions team in organizing orientation sessions and campus tours.
Data Management:
Maintain accurate and up-to-date student, staff, and school records.
Manage electronic and paper filing systems to ensure information is easily accessible and secure.
Generate and distribute reports as needed.
Policy and Procedure Implementation:
Ensure compliance with school policies and procedures.
Assist in developing and updating administrative policies and procedures.
Customer Service:
Provide high-quality customer service to parents, students, staff, and visitors.
Address and resolve inquiries and issues in a professional and timely manner.
Event Planning and Coordination:
Assist in planning and coordinating school events, including logistics, communication, and on-the-day support.
Coordinate with vendors and external partners for event-related services.
Qualifications:
Bachelor’s degree in Business Administration, Office Management, or a related field.
Minimum of 3 years of experience in an administrative or office management role.
Excellent organizational and time management skills.
Strong written and verbal communication skills.
Proficiency in Microsoft Office Suite (Word, Excel, Power Point, Outlook) and office management software.
Ability to handle confidential information with discretion.
Strong interpersonal skills and the ability to work collaboratively with diverse groups of people.
