As a key member of our team, you will be responsible for providing administrative support to the Principal. Your primary responsibilities will include:

  • Maintaining the Principal's agenda and assisting in planning appointments, board meetings, conferences etc.
  • Attending meetings and taking minutes

You will work closely with the Principal to ensure they are well informed of upcoming commitments and responsibilities, following up appropriately as needed.

Additionally, you will be responsible for:

  • Receiving and screening phone calls, redirecting them when necessary
  • Handling and prioritizing all outgoing or incoming correspondence (email, letters, packages etc.)
  • Making travel arrangements for executives
  • Handling confidential documents to ensure their security

Some specific tasks you may be asked to perform include:

  • Preparing invoices or financial statements
  • Providing assistance in bookkeeping
  • Monitoring office supplies and negotiating terms with suppliers to ensure cost-effective orders
  • Maintaining electronic and paper records, ensuring information is organized and easily accessible

Occasionally, you may be required to work in other roles or undertake additional tasks as part of the project phase. You will also be expected to procure and provide electronic media supplies, organize team outings, lunches and meetings.

When it comes to your working relationships, you will be reporting directly to the Principal on functional and administrative matters. You will also be interfacing with various personnel across the organization, including those based out of CO/ZO and other centers/schools.

Externally, you will interface with vendors for any functional issues and with parents for timely communication of school information and managing parent issues.
