
Customer Service Operations Specialist

This role is for a highly organized professional who thrives in a fast-paced, detail-driven environment.
You will be the operational heartbeat, handling customer service across all channels, overseeing inventory accuracy, managing vendors, coordinating logistics, supervising packing, and ensuring all administrative tasks run smoothly.
Key Responsibilities:
- Customer Service (All Channels):
- Deliver excellent service while adhering to brand policies.
- Respond promptly and professionally to queries via various platforms.
- Provide accurate information to customers.
- Manage exchanges, repairs, and returns.
- Follow up with customers to ensure satisfaction and resolve any issues promptly.
- Maintain in-depth knowledge of collections.
- Stay informed about industry trends.
- Operations & Administration:
- Oversee daily operational processes to ensure efficiency.
- Track and update inventory; flag low stock and coordinate replenishments.
- Maintain records for materials, finished goods, and supplies.
- Supervise packing staff to ensure accurate packaging.
- Coordinate pickups, deliveries, and returns.
- Handle office correspondence.
- Maintain supply levels; reorder as needed.
- Prepare operational reports.
- Logistics & Compliance:
- Stay up-to-date on shipping procedures.
- Ensure compliance with operational guidelines.
- Process Improvement & Problem-Solving:
- Identify operational challenges and suggest solutions.
- Recommend process improvements to enhance efficiency and customer experience.
- Anticipate potential bottlenecks and address them.
- Team & Vendor Coordination:
- Guide junior staff.
- Build relationships with vendors and stakeholders.
- Clearly communicate requirements.
Skills & Requirements:
- Education: Bachelor's degree required.
- Experience: 2+ years in admin, operations, or customer service roles.
- Technical Skills: Proficient in MS Office and Google Sheets.
- Communication: Excellent verbal and written communication skills in English.
- Work Style: Highly organized and able to manage multiple priorities.
- Operational Knowledge: Strong understanding of shipping processes and logistics.
- Availability: Flexible schedule required.
- Equipment: Reliable Wi-Fi and a laptop required.
- Mindset: Self-driven and eager to learn.
