Job Description

The primary function of a Portfolio Administrator is to oversee the daily operations of a portfolio, including investor services and corporate functions.

Key Responsibilities:

  • Manage shareholder registers for investment funds under administration;
  • Collect subscription documents and KYC information from new investors;
  • Liaise with the compliance department regarding investor acceptance processes;
  • Interact with external service providers and stakeholders for register and TA activity (AIFM, depository banks, investors, auditors);
  • Monitor shareholder registers and update missing or expired KYC documents for investors;
  • Support Account Managers by processing transactions related to investors, such as subscriptions, capital calls, redemptions, distributions, and transfer of shares;
  • Collaborate with Account Managers during annual audit activities by providing support for TA documents.

Time Recording:

  • Accurately record chargeable time and value of service using Maconomy, ensuring effective monitoring of transactions, handling pricing, invoicing, and collection of outstanding fees for clients;
  • Monitor productivity and chargeability on a weekly basis and review performance against targets to meet individual financial goals and client communication KPIs;
  • Follow a disciplined approach to submitting timesheets for client work and meet weekly and monthly time/chargeability targets.

Requirements:

  • Bachelor's degree in Finance and Accounting or relevant field;
  • At least 5 years of relevant experience within the financial industry;
  • Company Secretary certification from ICSI to handle corporate functions apart from other responsibilities;
  • AIF operations knowledge, Compliance queries, SEBI reporting, and investor servicing experience in a trusteeship environment;
  • Strong commercial acumen, proactive attitude, excellent organizational skills, and ability to tailor style to relevant audiences;
  • Ability to adapt and work in a dynamic team environment while being part of a larger organization.
