About this Role
We seek a skilled administrative professional to oversee daily office operations, ensuring seamless functioning and employee satisfaction. This role requires strong organizational skills, vendor management, and support for employees and leadership in maintaining workplace efficiency.
Key Responsibilities:- Office Management:
- Oversee office infrastructure, supplies, housekeeping, and security to maintain a productive work environment.
- Ensure timely maintenance of systems, equipment, and common areas to prevent disruptions.
- Facilitate efficient use of resources and minimize waste.
- Operations Support:
- Coordinate operational workflows across departments to ensure smooth execution and meet deadlines.
- Assist in process documentation and compliance tracking to maintain regulatory standards.
- Support HR and Finance teams in operational requirements when needed.
- Vendor & Procurement Management:
- Manage relationships with vendors and service providers to secure optimal pricing and services.
- Handle procurement of supplies, IT equipment, and services within established guidelines.
- Negotiate contracts and ensure timely payments/documentation to maintain business continuity.
- Employee Support & Logistics:
- Facilitate onboarding logistics (ID cards, seating, system allocation, etc.) to ensure a smooth transition for new employees.
- Support employee travel, event logistics, and meeting arrangements to facilitate productivity and collaboration.
- Act as the point of contact for employee administrative queries to provide timely support.
- Events & Engagement:
- Coordinate logistics for company meetings, workshops, and offsites to foster collaboration and knowledge sharing.
- Liaise with vendors for catering, travel, and facilities during events to ensure seamless execution.
- Bachelor's degree in Business Administration, Management, or related field.
- 3–5 years of experience in Administration/Operations.
- Experience in vendor management, office operations, or facility management preferred.
