Front Office Coordinator Role
The front office coordinator plays a pivotal role in ensuring seamless day-to-day operations at the front desk. Effective communication, organizational skills, and a professional demeanor are essential for providing an exceptional experience for visitors, employees, and clients.
Key Responsibilities:
- Welcoming visitors and guests with a positive first impression of the organization.
- Managing front desk and telephone switchboard operations, including answering calls and routing them to relevant departments.
- Maintaining a fully functional reception area during business hours.
- Efficiently handling conference/meeting room bookings.
- Responding to general inquiries and providing accurate information or assistance.
- Overseeing the ordering process for staff business cards according to company-defined procedures.
- Ensuring the reception area is tidy and well-organized, with newspapers, magazines, and other materials neatly arranged.
- Promoting a friendly and welcoming work environment.
- Familiarity with security and emergency procedures, collaborating with security personnel as needed.
- Supporting the initiation of emergency procedures according to location-specific guidelines.
- Assisting with purchase orders, invoice tracking, and timely ordering of office essentials/medicines.
- Providing administrative support to various office functions as required.
Qualifications & Skills:
- Bachelor's degree in any discipline (preferred).
- 2–4 years of experience in a front office, receptionist, or customer-facing role in a corporate setting.
- Excellent communication and interpersonal skills.
- Strong organizational and multi-tasking abilities.
- Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint).
- Professionalism with discretion when handling sensitive information.
- Strong customer service orientation.
