Office Operations Manager Position

We are seeking an experienced and skilled Office Operations Manager to oversee the smooth day-to-day operation of our office.

  • Manage new employee onboarding, ensuring a seamless experience for all staff members.
  • Assign company assets to newly joined employees, including laptops and other essential tools.
  • Provide biometric access to all employees, ensuring secure entry to the office premises.
  • Supervise housekeeping and security personnel, ensuring the office is maintained at a high standard.
  • Handle vendor management for all administrative services, negotiating contracts and ensuring optimal service delivery.
  • Maintain stock levels of cleaning supplies and office materials, preventing stockouts and overstocking.
  • Oversee CCD (coffee vending machine) maintenance, ordering necessary supplies on a weekly basis.
  • Manage office petty cash, maintaining accurate records and ensuring timely payment of bills.
  • Track and manage attendance for PMs (Project Managers) and SS (Site Supervisors), promoting accountability and productivity.
  • Process and pay monthly bills to suppliers, ensuring prompt payment and avoiding late fees.
  • Take care of specific office utility bills, including ACT (internet) bill, maintenance bills, electricity bill, and water bill.
  • Prepare regular reports on expenses and office budgets, providing valuable insights for management decision-making.
  • Maintain and update company databases with accurate information, ensuring data integrity and compliance.
  • Respond promptly and professionally to queries from employees and clients, enhancing customer satisfaction and loyalty.
Key Skills and Qualifications
  • Strong organizational and multitasking abilities, with excellent prioritization skills.
  • Proficiency in vendor management and negotiation, with experience in petty cash management and basic bookkeeping.
  • Ability to maintain accurate records and prepare reports, with good communication and interpersonal skills.
  • Proactive approach to identifying and resolving administrative issues, with relevant experience in an administrative or office management role.
