Administrative Site Coordinator Job Description

This role involves overseeing the administrative setup of various projects, ensuring smooth operations and efficient management of site readiness. The position requires strong organizational skills, effective communication abilities, and a proactive approach to problem-solving.

Key Responsibilities:

  • Identify and arrange suitable staff accommodations/staff rooms near project sites.
  • Coordinate with vendors and suppliers for timely setup of furniture and utilities.
  • Conduct pre-launch site inspections to verify operational readiness.
  • Maintain liaison with local authorities and service providers for seamless execution of tasks.
  • Ensure procurement and availability of required materials.
  • Prepare and maintain site readiness checklists and reports.
  • Handle travel arrangements for staff during launch phase.
  • Manage petty cash and expense records.
  • Ensure compliance with safety standards and statutory requirements.
  • Support operations team with ad-hoc administrative requirements.

Requirements:

  • Bachelor's degree in Administration or related field.
  • 3-5 years of experience in facilities management or site coordination.
  • Strong negotiation, vendor management, and problem-solving skills.
  • Ability to handle multiple sites and work under tight deadlines.
  • Proficient in MS Office and basic reporting tools.
  • Willingness to travel and work flexible hours.
