We are seeking a detail-oriented and proactive professional to manage our office administration and logistics in Mumbai.

About the Role

This mixed role requires someone with exceptional organizational skills who can handle office operations, upkeep, and employee needs while ensuring seamless logistics and shipping operations for domestic and international deliveries.

Key Responsibilities
  • Oversee day-to-day office operations for a team of 30.
  • Manage office supplies, equipment, and inventory to ensure smooth functioning.
  • Supervise housekeeping and maintenance of office premises.
  • Coordinate with vendors for office maintenance, repairs, and supplies.
  • Address employee requirements related to workspaces, equipment, and other office needs.
Team Co-ordination
  • Act as the point of contact for employee queries related to office facilities.
  • Facilitate team-building initiatives and ensure a positive workplace environment.
Logistics Co-ordination
  • Coordinate with shipping aggregators and courier services for 20-30 shipments daily.
  • Handle local, national, and international shipments, including client-specific requirements.
  • Resolve client queries related to shipments and delivery.
  • Manage COD reconciliation, ensuring accuracy and timely settlements.
  • Maintain and update records of shipments, tracking, and invoices.
Vendor and Stakeholder Management
  • Liaise with multiple POCs for logistics, housekeeping, and equipment maintenance.
  • Negotiate with vendors for cost-effective solutions.
Process Improvement
  • Streamline administrative and logistical processes for increased efficiency.
  • Develop SOPs for office management and shipping operations.
Requirements and Benefits

The ideal candidate will possess:

  • A Bachelor's degree in Business Administration, Logistics, or a related field.
  • 3+ years of experience in office administration and/or logistics roles.
  • Strong organizational and multitasking skills.
  • Excellent verbal and written communication skills in English, Hindi, and Gujarati (preferred).
  • Proficiency in Microsoft Office and experience with logistics software or platforms.
  • Ability to manage a fast-paced environment with attention to detail.
  • Problem-solving mindset with the ability to take initiative.
