Job Title: Project Cost Manager 

Job Description:

  • Responsibilities:
  • 1. Strategic Budget Planning and Management: Prepare project budgets, annual/quarterly/monthly plans, and rolling forecasts to ensure effective resource allocation.
  • 2. Financial Analysis and Reporting: Support on project invoicing, tax issues, bonds, guarantees, financial accounting, and reporting to drive optimization of project cash flow, revenues, and GM contribution with Central Cost Controller/Project Manager as needed.
  • 3. Opportunity/Risk Identification and Mitigation: Participate in identifying opportunities and risks, ensuring timely implementation of required mitigation actions. Drive, coordinate, and prepare monthly project reviews jointly with PM/Central Controller/PSCM.
  • 4. Commercial Awareness and Input: Promote commercial awareness within the project team and provide commercial input to the project execution plan.
  • 5. Compliance and Billing: Coordinate with clients for invoice approvals, payments, and compliance purposes. Maintain an updated billing register capturing billings details, status, payments, deductions, and follow-ups.
  • 6. Expense Monitoring and Control: Monitor site expenses strictly and report weekly project expenses in a specified format, reconciling SAP entries with invoices.
  • 7. Analysis and Issue Highlighting: Analyze actual vs. budget costs and revenue, highlighting potential issues to controller managers and project managers.
  • 8. Project Actualisation (Actua): Lead project actualization activities at HO-defined frequency, coordinating with project teams to gather data, preparing finance-related slides, and uploading actua in SAP post-approval.
  • 9. Kappa Review and Compliance: Review Kappa against budgeted costs, highlighting costs exceeding the budget. Check that adequate documents are attached, including quotations, budget sheets, comparative information, and required authorizations.
  • 10. Monthly Business Review: Share project slides for monthly business review, following the timeline defined by the project team and keeping the controller manager informed.
  • 11. Provisions and Internal Financial Controls (IFC): Conduct comprehensive checks on provisions to ensure accuracy, completeness, and alignment with accounting rules and HO instructions. Lead and supervise IFC compliance as defined by HO in the Risk and Control Matrix.
  • 12. Guarantee and Insurance Renewal: Monitor ABG, PBG, and other guarantees, insurances to ensure timely renewal and reduction according to contractual conditions.
  • 13. Tax Compliance: Ensure compliance with tax regulations.
  • 14. Team Support and Finance Guidance: Provide support to the execution team, being an integral part of the project team and offering finance guidance for all finance-related matters on-site.
  • 15. Man Days and Timesheets: Timely fill man days for self against respective projects and check that staff timesheets are filled properly.
  • 16. Site Accountant Supervision: Supervise day-to-day work of site accountants, providing guidance and support for efficient conduct of site tasks.
  • 17. Central Controlling Support: Support central controlling teams on various analyses and ad-hoc requests.
