Operations Coordinator

We are seeking a highly organized and detail-focused Operations Coordinator to join our team.

This role involves coordinating with various stakeholders, managing schedules, ensuring compliance, and providing necessary tools and processes for efficient exam delivery.

The successful candidate will have excellent communication skills, both written and verbal, and the ability to work under pressure while meeting tight deadlines.

Key Responsibilities:
  • Coordinate scheduling across the HSTC network, reviewing upcoming availability and capacity requirements
  • Collaborate with the Workforce Management team on Speaking Examiners' allocation forecast
  • Monitor HSTC utilization and recommend adjustments or expansions based on demand
  • Manage accurate submission of invoices for HSTCs, verifying exam volumes and facilitating timely payments
  • Coordinate with internal teams to manage unforeseen events, minimizing impact on candidates and stakeholders
  • Oversee CCTV monitoring across HSTCs to ensure ongoing compliance with regulatory standards
  • Handle requests from HSTCs regarding changes in setup or personnel, directing them to the appropriate internal teams
  • Proactively identify and communicate quality-related observations or opportunities for improvement to relevant teams

Required Skills and Qualifications:

  • Bachelor's degree in business administration, operations management, or related field preferred
  • 1-3 years previous working experience in a multi-cultured environment considered a plus
  • Excellent attention to detail
  • Excellent command of English Language (Level C2)
  • Advanced computer literacy required, ECDL Advance level certification desirable
  • Clear and effective communication skills, both written and verbal
  • Strong organizational and time-management skills
  • Ability to work under pressure and meet tight deadlines
  • Experience in liaising with multiple teams and departments
  • Strong focus on compliance, ensuring all processes and communications adhere to relevant regulations, company policies, and industry standards
  • Flexibility to travel as required to support operational needs
