Head of Operations

This role oversees the daily operations of an office, ensuring all departments function smoothly in line with company objectives.

Key Responsibilities:
  • Office Operations Management: Oversee day-to-day office functions and ensure proper functioning of key departments including admin, HR, finance, sales support, procurement and projects.
  • Interdepartmental Coordination: Align work between various verticals to achieve smooth workflows, track cross-functional tasks and maintain close coordination between field operations and office support teams.
  • Process Optimization: Develop standard operating procedures for all office functions, standardize document control, filing systems and reporting formats, identify inefficiencies and implement process improvements across all departments.
  • Reporting and Monitoring: Review daily, weekly and monthly reports from all departments, prepare consolidated dashboards and updates for senior management, monitor internal KPIs related to operations, productivity and project delivery support.
  • Team Oversight and Task Allocation: Allocate and monitor tasks to department heads or coordinators, follow up on deadlines, pending work and escalated issues, ensure team members are adequately supported and resourced.

Maintaining discipline, attendance and punctuality within the office is also a critical responsibility of this role. The ideal candidate will possess excellent communication and coordination skills, as well as the ability to handle operational escalations and resolve issues efficiently.

Requirements:
  1. Strong leadership and management skills with experience in overseeing multiple departments.
  2. Excellent communication and coordination skills with the ability to collaborate effectively with senior management, team members and external stakeholders.
  3. Proven track record of successfully implementing process improvements and driving efficiency gains within organizations.
  4. Ability to analyze complex data, identify trends and develop actionable recommendations.
  5. Highly organized and detail-oriented with strong time management skills.
