Operations Coordinator Role

We seek an organized professional to manage HSTC operations nationwide.

The ideal candidate will play a key role in ensuring the smooth operation of High-Stakes Test Centers (HSTCs).

Key Responsibilities:
  1. Coordinate scheduling across HSTC network, reviewing upcoming availability and capacity requirements.
  2. Collaborate with Workforce Management team on Speaking Examiners' allocation forecast.
  3. Monitor HSTC utilization and recommend adjustments or expansions based on demand.
  4. Manage accurate submission of invoices for HSTCs, verifying exam volumes and facilitating timely payments.
  5. Coordinate with internal teams, managing unforeseen events to minimize impact on candidates and stakeholders.
  6. Oversee CCTV monitoring across HSTCs to ensure ongoing compliance with regulatory standards.
  7. Handle requests from HSTCs regarding changes in setup or personnel, directing them to the appropriate internal teams.
  8. Proactively identify and communicate quality-related observations or opportunities for improvement to relevant teams.
  9. Conduct visits to High-Stakes Test Centers to assess operations, ensure adherence to company standards, and provide on-site support for continuous improvement.
Requirements:
  1. Bachelor's degree in business administration, operations management, or related field preferred.
  2. 1-3 years previous working experience in a multi-cultural environment considered a plus.
  3. Excellent attention to detail.
  4. Excellent command of English Language (Level C2). Extra languages desired.
  5. Advanced computer literacy required. ECDL Advance level certification desirable.
  6. Clear and effective communication skills, both written and verbal.
  7. Strong organizational and time-management skills.
  8. Ability to work under pressure and meet tight deadlines.
  9. Experience liaising with multiple teams and departments.
  10. Strong focus on compliance, ensuring all processes and communications adhere to relevant regulations, company policies, and industry standards.
  11. Flexibility to travel as required to support operational needs.
