Project Coordinator/Scheduler Job Description

The role of a Project Coordinator/Scheduler is critical to ensuring seamless operations and optimal use of time for subject matter experts.

This position involves managing complex scheduling needs across teams or executive leadership, ensuring efficient calendar management, optimizing meeting schedules, and proactively resolving conflicts.

  • Manage daily calendars for various subject matter experts, team members, and consultants.
  • Schedule meetings, appointments, and events while ensuring minimal conflicts.
  • Coordinate with internal stakeholders to arrange logistics.
  • Monitor and adjust calendar events as priorities shift.
  • Communicate schedule changes promptly and professionally.

Requirements and Preferences:

  • Proven experience in Project coordination, Project management scheduler, executive assistant, or similar administrative roles.
  • Proficiency in calendar and scheduling tools (e.g., Google Calendar, Outlook, Calendly).
  • Excellent organizational and time management skills.
  • Strong written and verbal communication.
  • Ability to work independently and under pressure.
  • High level of discretion and professionalism.
