Job Title: Office Manager

We are seeking a highly organized and proactive professional to manage our office operations. This role involves ensuring the smooth and efficient daily operation of our office, overseeing facilities, vendor relationships, and managing a diverse range of tasks with professionalism and timeliness.

Responsibilities:
  • Oversee employee onboarding and exiting processes for a seamless experience.
  • Assign and distribute office assets to newly joined employees.
  • Provide access to office systems and amenities.
  • Manage housekeeping and security personnel.
  • Negotiate and manage administrative services with vendors.
  • Maintain stock levels of cleaning supplies and office materials.
  • Coordinate CCD maintenance and order weekly stocks.
  • Manage office cash flow and maintain accurate records.
  • Track attendance for project managers and site supervisors.
  • Process monthly bills from suppliers.
  • Cover utility costs including internet, maintenance, electricity, and water.
  • Compile regular expense reports and office budgets.
  • Update company databases with accurate information.
  • Respond promptly and professionally to employee and client queries.
Requirements:
  • Strong organizational skills and multitasking abilities.
  • Excellent prioritization skills for managing multiple responsibilities effectively.
  • Vendor negotiation and management skills.
  • Petty cash management and basic bookkeeping experience.
  • Ability to maintain accurate records and compile reports.
  • Good communication and interpersonal skills for interacting with colleagues, clients, and suppliers.
  • A proactive approach to identifying and resolving administrative issues.
