Job Title: Guest Relations Ambassador

Description:

As a key member of our front office team, you will be responsible for creating a positive and welcoming experience for our clients and guests. This involves greeting and assisting visitors every day, managing the front office in accordance with company policies and procedures, and achieving defined key performance indicators and service level agreement targets.

Key Responsibilities:

  • Meet and greet clients and guests, providing a friendly and courteous service that reflects the corporate image of the organization.
  • Notify site personnel of guest arrivals immediately and follow up with calls where guests are not picked up, coordinating with the host sponsor.
  • Issue visitor badges, temporary ID cards, access cards, and new joiner IDs as required.
  • Follow up with stakeholders to ensure the return of respective ID and access cards.
  • Ensure safety briefings are provided to client visitors, interview candidates, and provide necessary emergency safety brochures.
  • Ensure specific processes and manuals are followed, including visitor admission and authorization.
  • Assist with special needs for visitors with disabilities and maintain basic cleanliness of the lobby, lifts, and public areas.
  • Handle complaints, feedback, and other related problems from clients, visitors, sponsors, and other stakeholders, communicating escalations as per the matrix.

Requirements:

  • Excellent communication and customer service skills.
  • Strong problem-solving skills and ability to work flexible hours.
  • Able to motivate self and learn quickly.
  • Proven working experience as a guest relations executive or similar role.
  • Confident presentation skills and hands-on experience in using visitor management software and MS Office.
  • Strong team player with experience in customer service teams.
