We are seeking a highly skilled and organized Front Desk Coordinator to provide exceptional customer service and administrative support.
Job Description:The successful candidate will be the first point of contact for all visitors and callers, ensuring a warm and professional welcome. This role is critical in maintaining an organized and efficient front desk, handling communications, and providing administrative support to facilitate smooth office operations.
Key Responsibilities:- Front Desk Management
- Welcome visitors, clients, and guests warmly and professionally.
- Direct visitors to the appropriate person or department, ensuring a smooth and efficient flow.
- Maintain a tidy and presentable reception area at all times.
- Communication Handling
- Answer, screen, and forward incoming phone calls in a professional and efficient manner.
- Take accurate messages and ensure they are promptly delivered to the correct individuals.
- Handle general email inquiries and redirect them as needed.
- Administrative Support
- Assist in scheduling appointments and managing meeting room bookings.
- Perform basic data entry and update records in our systems.
- Monitor and maintain inventory of office supplies, placing orders when necessary to ensure availability.
- Assist with the preparation of basic documents, presentations, and reports.
- Maintain and organize physical and electronic filing systems.
- Office Support
- Provide general administrative and clerical support to other departments or staff members as needed.
- Assist with basic setup for meetings or presentations (e.g., preparing refreshments, ensuring equipment is ready).
