We are seeking a highly skilled and organized Front Desk Coordinator to provide exceptional customer service and administrative support.

Job Description:

The successful candidate will be the first point of contact for all visitors and callers, ensuring a warm and professional welcome. This role is critical in maintaining an organized and efficient front desk, handling communications, and providing administrative support to facilitate smooth office operations.

Key Responsibilities:
  • Front Desk Management
    • Welcome visitors, clients, and guests warmly and professionally.
    • Direct visitors to the appropriate person or department, ensuring a smooth and efficient flow.
    • Maintain a tidy and presentable reception area at all times.
  • Communication Handling
    • Answer, screen, and forward incoming phone calls in a professional and efficient manner.
    • Take accurate messages and ensure they are promptly delivered to the correct individuals.
    • Handle general email inquiries and redirect them as needed.
  • Administrative Support
    • Assist in scheduling appointments and managing meeting room bookings.
    • Perform basic data entry and update records in our systems.
    • Monitor and maintain inventory of office supplies, placing orders when necessary to ensure availability.
    • Assist with the preparation of basic documents, presentations, and reports.
    • Maintain and organize physical and electronic filing systems.
  • Office Support
    • Provide general administrative and clerical support to other departments or staff members as needed.
    • Assist with basic setup for meetings or presentations (e.g., preparing refreshments, ensuring equipment is ready).
