Job Overview

We are seeking a skilled Events Operation Associate who excels in sourcing event venues and hotels to join our global team.

The ideal candidate will play a pivotal role in sourcing destinations and building strong relationships with venue representatives and stakeholders.

Key Responsibilities
  1. Collaborate with event planners to identify business requirements and determine optimal venue options for global events
  2. Utilize expert knowledge of sourcing processes to make informed suggestions when applicable to adjust or improve procedures
  3. Coordinate venue sourcing via RFP tool and support planners with venue search, compiling responses and preparing destination proposal recommendations for clients
  4. Apply strategic sourcing knowledge with a solid vendor and supplier network to support venue selection goals
  5. Stay up-to-date on hospitality industry trends and travel insights
  6. Employ strong data analysis skills focused on accurate reporting
  7. Exercise risk awareness while considering safety and security of participants in selecting potential event destinations
  8. Identify potential challenges with venue limitations, competing events, etc.
Required Skills and Qualifications

Bachelor's degree is preferred. Proven experience in venue sourcing and basic event management.

Familiarity with corporate travel policies and vendor management best practices. 2-4 years of relevant experience in sourcing and procurement including:

  • Supplier negotiation
  • Management of FRQs, RFPs, cost analysis

Excellent communication and relationship-building abilities. Proficiency in budget management and cost control. Analytical mindset with experience in data analysis and reporting. Understanding of compliance, policy, and risk management in sourcing.

Proficiency with MS Office, PowerPoint, Excel, Word, and file sharing tools such as SharePoint. Experience with meeting management software such as Cvent. Virtual event skills Zoom, Microsoft Teams. Other sourcing tools.
