Job Title: Facilities Coordinator

About the Role:

  • The ideal candidate will have 2-5 years of experience in facility management.
  • This role involves overseeing HUB Admin activities and operations, as well as directing a team.
  • The successful candidate will be responsible for defining scope and Key Result Areas (KRAs) of team members, communicating with immediate management, and monitoring key project activities.

Key Responsibilities:

  1. Oversight of HUB Admin activities and operations
  2. Definition and deployment of scope and KRAs of team members
  3. Communication with immediate management
  4. Monitoring of key project activities
  5. End-to-end exam day and non-exam day administrative activities management and team coordination
  6. Ensuring zero incidents on exam day related to admin services
  7. Support in recruitment, training, and talent development of team members
  8. Definition and implementation of control and monitoring mechanisms for the admin team
  9. Training and development of the admin team
  10. Standardization of processes at all exam venues
  11. Vendor management and support for regional head in finalizing contracts and vendor invoices
  12. Publishing regular dashboards on key performance parameters
  13. Central point of contact for all facility-related matters within the HUB
  14. Ensuring Service Level Agreements/Service Level Commitments at exam venues
  15. Governance over VidZ/LISP partners and regular meetings and closure of audit points
  16. Deployment of ad-hoc or contract manpower at exam venues
  17. Support in shortlisting prospective partners or venues based on defined parameters
  18. Maintenance and monitoring of legal compliances for all venues
  19. Preparation and deployment of contingency/BCP
  20. Surprise checks at exam venues
  21. Crisis situation handling
  22. Coordination and management with manpower agencies on deployment and other staff-related issues and compliances
  23. Audit of exam venues
