The Receiving Staff plays a pivotal role in the organization's supply chain management, ensuring seamless delivery of stock and supplies. This critical position involves receiving, inspecting, and recording incoming deliveries to guarantee accurate inventory records.

Key Responsibilities:
  • Ensure timely receipt of all incoming deliveries and verify contents against purchase orders and invoices for accuracy and completeness.
  • Conduct thorough inspections of goods for damage, defects, or expiration, maintaining meticulous records of any discrepancies found.
  • Verify quantities of items received to ensure compliance with order specifications, documenting any variations for future reference.
  • Accurately record all received goods in the inventory system, utilizing precise documentation and detailed descriptions to facilitate efficient tracking and retrieval.
  • Label and tag items as required, implementing clear and consistent identification practices to simplify inventory management and reduce errors.
  • Maintain proper documentation of goods received, adhering to established protocols and regulations for effective record-keeping and audit trail purposes.
  • Coordinate closely with procurement and accounts teams to expedite Goods Receipt Note (GRN) entry, streamlining the process and minimizing delays.
  • Notify relevant departments or store sections about received goods, facilitating smooth distribution and storage procedures.
  • Prioritize cleanliness and organization of the receiving area, maintaining a safe and efficient working environment that fosters productivity and minimizes waste.
  • Return any defective or incorrect items to the supplier with proper documentation, upholding the organization's commitment to quality and customer satisfaction.
  • Adhere to FIFO (First-In-First-Out) methodology for item handling, ensuring optimal inventory rotation and reducing the risk of expired or damaged stock.
