Administrative Support Specialist to Director

We are seeking a dedicated individual to join our team as an Administrative Support Specialist to the Director in the Finance sector. The successful candidate will provide comprehensive administrative support, including calendar management, communication facilitation, documentation upkeep, meeting coordination, travel arrangements, expense management, project assistance, and efficient time prioritization, ensuring seamless operation and productivity for the Director.
Key Responsibilities
1. Calendar Management:
Maintain and organize the Director's schedule, coordinating meetings, appointments, and travel arrangements. Anticipate and prepare materials for meetings, ensuring the Director is well-prepared and informed. Take minutes of both external and internal meetings.
2. Communication:
Act as a liaison between the Director and internal/external stakeholders. Draft and edit emails, reports, and other communications on behalf of the Director. Coordinate with office employees on behalf of the Director for regular updates.
3. Documentation and Record Keeping:
Manage and organize documentation, ensuring confidentiality of sensitive information. Prepare, proofread, and edit documents, presentations, and reports as required.
4. Meeting Coordination:
Plan and coordinate internal and external meetings, including logistics, agenda preparation, and follow-up actions. Record minutes of meetings and distribute them to relevant parties.
5. Travel Arrangements:
Arrange domestic and international travel itineraries, accommodations, and other logistics for the Director.
6. Expense Management:
Track and reconcile expenses, ensuring accuracy and compliance with company policies.
7. Project Support:
Assist in special projects and initiatives, providing administrative support as needed.
8. Prioritization and Time Management:
Effectively prioritize tasks and manage competing demands to meet deadlines.
Requirements
Education: Graduation or post-graduation, preferably in business administration. Experience: 3-5 years of previous experience in an administrative role, preferably supporting high-level executives or directors. Organizational Skills: Strong organizational abilities are essential for managing calendars, documents, meetings, and travel arrangements efficiently. Experience with calendar management tools and online collaboration platforms is preferred. Communication Skills: Excellent written and verbal communication skills. Attention to Detail: The ability to maintain accurate documentation, proofread materials, and ensure confidentiality of sensitive information is crucial. Tech knowledge: Proficiency in office productivity software, such as Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). Adaptability: The capacity to adapt to changing priorities, handle multiple tasks simultaneously, and work well under pressure is important in a fast-paced environment. Working Hours: Flexible; the candidate must be available for late hours as the Director may attend external meetings.
